Job Description

We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team in London. This role is crucial in ensuring the smooth operation of our office and supporting multiple team members. The ideal candidate will be a meticulous planner, an excellent communicator, and possess the ability to manage various administrative tasks efficiently. You will play a key role in maintaining productivity and a positive working environment within a fast-paced, innovative setting.

Key Responsibilities

  • Manage complex calendars and schedule meetings, appointments, and travel arrangements for executives and team members.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain filing systems, both digital and physical.
  • Coordinate office supplies, equipment, and services, ensuring the office runs smoothly.
  • Act as a primary point of contact for internal and external stakeholders.
  • Assist with expense reports, budget tracking, and basic financial administration.
  • Plan and coordinate company events, team off-sites, and other internal activities.
  • Handle confidential information with discretion and professionalism.

Required Skills

  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High level of attention to detail and accuracy.
  • Ability to multitask and prioritize tasks effectively in a dynamic environment.
  • Proactive and able to work independently with minimal supervision.

Preferred Qualifications

  • Bachelor's degree or equivalent practical experience.
  • Experience supporting multiple senior-level professionals.
  • Familiarity with project management software and tools.
