Job Description
We are seeking a dedicated Records Management Specialist with a focus on Federal/State Benefits to join our team in Garland, TX. This on-site role involves managing, organizing, and ensuring the compliance of records related to various federal and state benefits programs, leveraging Google’s suite of tools and platforms for efficient data handling. The ideal candidate will have a strong understanding of records lifecycle management, government regulations, and a meticulous approach to data integrity and security. You will be instrumental in supporting critical government operations by ensuring that sensitive benefit records are accurately maintained, easily retrievable, and fully compliant with all applicable laws and policies.
Key Responsibilities
- Manage the complete lifecycle of federal and state benefits-related records, from creation and active use to archiving and secure destruction.
- Ensure strict adherence to federal and state regulations, guidelines, and policies concerning records management, privacy (e.g., HIPAA, FOIA), and data retention specific to benefits programs.
- Utilize Google Workspace (e.g., Google Drive, Google Sheets, Google Docs) and other relevant Google platforms for efficient record organization, indexing, and retrieval.
- Conduct regular audits of records to ensure accuracy, completeness, and compliance.
- Respond to information requests from internal stakeholders and authorized external agencies in a timely and compliant manner.
- Develop and maintain comprehensive documentation for records management procedures and best practices.
- Provide training and support to staff on records management policies and Google-based tools.
- Identify and implement improvements to records management processes and systems to enhance efficiency and compliance.
Required Skills
- Minimum of 3 years of experience in records management or information governance, with a focus on government or benefits programs.
- Proven experience with federal and state records retention schedules and privacy regulations.
- Proficiency in Google Workspace (formerly G Suite) applications (Drive, Docs, Sheets, Gmail, Calendar).
- Strong understanding of data security principles and confidential information handling.
- Excellent organizational skills and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
- Bachelor's degree in Information Management, Public Administration, Library Science, or a related field.
Preferred Qualifications
- Certified Records Manager (CRM) or equivalent certification.
- Experience with electronic records management systems (ERMS) or specialized government records platforms.
- Familiarity with Google Cloud Platform services relevant to data storage and management.
- Previous experience working directly with federal or state benefits agencies.
- Knowledge of accessibility standards for digital records.
