Job Description

We are seeking a diligent and detail-oriented Compliance Admin Assistant to join our regulatory team in Naperville, IL. In this crucial role, you will provide administrative support to our compliance officers, ensuring smooth operations and adherence to regulatory requirements. This position is ideal for someone with a strong organizational skill set, a keen eye for detail, and a foundational understanding of administrative processes within a regulated environment. You will be instrumental in maintaining documentation, scheduling, and supporting various compliance initiatives.

Key Responsibilities

  • Assist compliance officers with administrative tasks, including scheduling meetings, managing calendars, and preparing presentations.
  • Maintain and organize compliance documentation, records, and reports, ensuring accuracy and accessibility.
  • Support the preparation and submission of regulatory filings and internal compliance reports.
  • Coordinate and track training sessions for compliance-related topics.
  • Conduct basic research to support compliance projects and regulatory updates.
  • Manage communication flow, including drafting correspondence and responding to inquiries.
  • Assist in the onboarding process for new team members within the compliance department.
  • Ensure confidentiality and data security in all compliance activities.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.

Preferred Qualifications

  • Prior administrative experience in a highly regulated industry (e.g., financial services, healthcare, legal).
  • Familiarity with compliance software or database systems.
  • Basic understanding of financial regulations (e.g., BSA, AML, Dodd-Frank).
