Job Description

We are seeking a highly organized and proactive Administrative Specialist with a strong focus on project management to join our team in Milwaukee, Wisconsin. This role is crucial for providing comprehensive administrative and coordination support to our project managers and project teams, ensuring the efficient and timely execution of key initiatives. The ideal candidate will possess excellent communication skills, a meticulous eye for detail, and the ability to manage multiple tasks in a dynamic, hybrid work environment.

Key Responsibilities

  • Provide comprehensive administrative support to project managers and project teams, managing calendars, scheduling meetings, and handling correspondence.
  • Coordinate project schedules, resources, and logistics to ensure alignment with project plans and deadlines.
  • Prepare, edit, and format various project documents, reports, presentations, and communications, ensuring accuracy and professional presentation.
  • Track project progress, monitor timelines, and assist with basic budget monitoring and expense reporting.
  • Facilitate effective communication channels between team members, departments, and external stakeholders.
  • Manage and maintain highly organized digital and physical filing systems for all project-related documentation.
  • Assist with the onboarding process for new project team members, ensuring they have the necessary resources and information.
  • Support the preparation of agendas, minutes, and action items for project meetings.
  • Perform general office duties and special projects as assigned to support overall project operations.

Required Skills

  • Excellent organizational and time management skills, with a proven ability to prioritize tasks and manage multiple projects simultaneously.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Strong written and verbal communication abilities, with an emphasis on clarity, grammar, and professionalism.
  • Exceptional attention to detail and a proactive approach to problem-solving.
  • Ability to work effectively both independently and collaboratively as part of a diverse team.
  • Basic understanding of project management principles, methodologies, and terminology.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Project Management, or a related field.
  • 1-3 years of prior experience in an administrative or coordination role with a focus on project support.
  • Familiarity with project management software (e.g., Asana, Jira, Microsoft Project, Trello).
  • Certification in administrative professional programs (e.g., CAP) or project support is a plus.
  • Experience working in a large corporate or global organizational environment.
