Job Description
We are seeking a highly organized, proactive, and detail-oriented Administrative Partner to provide comprehensive administrative support to executives and teams within our Minneapolis office. As a Google Administrative Partner, you will play a critical role in ensuring the smooth operation of daily activities, managing complex schedules, coordinating projects, and facilitating effective communication. This is a 100% direct hire position, offering stability and direct integration into the Google team.
Key Responsibilities
- Manage complex calendars and scheduling for executives and teams, including coordinating internal and external meetings, appointments, and events.
- Arrange domestic and international travel logistics, including flight, hotel, and ground transportation, and prepare detailed itineraries.
- Prepare and submit expense reports, ensuring accuracy and adherence to company policies.
- Organize and facilitate team meetings, offsites, and special events, including agenda preparation, minute-taking, and follow-up on action items.
- Act as a central point of contact for internal and external stakeholders, handling inquiries and directing them appropriately.
- Assist with special projects and initiatives, conducting research, preparing presentations, and compiling data as needed.
- Maintain confidentiality of sensitive information and exercise discretion in all communications.
- Proactively identify and implement process improvements to enhance efficiency and productivity.
- Manage office supplies, equipment, and facility-related requests for the team.
Required Skills
- Bachelor's degree or equivalent practical experience.
- 3+ years of administrative support experience in a fast-paced corporate environment.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or similar office productivity suites.
- Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks effectively.
- Strong written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Problem-solving aptitude with a proactive and resourceful approach.
Preferred Qualifications
- Experience supporting multiple executives or a large team.
- Ability to work independently and as part of a team.
- Experience in event planning and coordination.
- Familiarity with financial reporting and budgeting processes.
- A passion for technology and an understanding of Google's products and services.
