Job Description

We are seeking a highly meticulous and detail-oriented Online Records Assistant to join our administrative team. This critical role involves managing and maintaining accurate digital records specifically pertaining to individuals aged 15 years old, often related to pre-college programs, outreach initiatives, or specific student support services. The successful candidate will be responsible for data entry, verification, organization, and secure handling of sensitive information, ensuring strict compliance with university policies and privacy regulations (FERPA). This position demands exceptional accuracy, discretion, and a strong commitment to data integrity. The role operates in a hybrid model, requiring both on-campus presence for training, secure document handling, and team collaboration, as well as remote work flexibility.

Key Responsibilities

  • Perform accurate and timely data entry of information related to 15-year-old teens into various university databases and record-keeping systems.
  • Verify the accuracy and completeness of existing records, identifying and correcting discrepancies.
  • Organize and maintain digital files, ensuring logical structure and easy retrieval of information.
  • Adhere strictly to all data privacy regulations (e.g., FERPA) and university policies regarding sensitive information handling.
  • Assist in responding to record retrieval requests from authorized personnel, maintaining full confidentiality.
  • Collaborate with other administrative staff to streamline record management processes.
  • Generate routine reports on data entry progress and record status.
  • Conduct regular audits of records to ensure compliance and data integrity.
  • Provide administrative support for special projects related to records management.
