Job Description

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative support directly to our Board of Directors. This critical role ensures the seamless operation of executive-level activities, demanding meticulous attention to detail, exceptional communication skills, and the ability to manage confidential information with the utmost integrity. The ideal candidate will be instrumental in facilitating effective communication, managing complex schedules, and preparing essential documents for high-level meetings.

Key Responsibilities

  • Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for Board members.
  • Prepare, proofread, and distribute confidential documents, reports, presentations, and correspondence for Board meetings.
  • Coordinate and organize Board meetings, offsites, and special events, including logistics, catering, and technology setup.
  • Act as a primary point of contact for internal and external stakeholders on behalf of the Board of Directors.
  • Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
  • Conduct research, compile data, and prepare summaries as requested by Board members.
  • Maintain organized digital and physical filing systems for critical Board documents.
  • Handle confidential information with discretion and sensitivity.
  • Anticipate needs and proactively provide support to ensure Board members are well-prepared for all engagements.
  • Assist with special projects and initiatives as assigned by the Board.

Required Skills

  • Minimum of 5 years of experience as an Executive Assistant or Personal Assistant supporting senior leadership, preferably Board-level.
  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks effectively.
  • Proven ability to handle highly confidential information with integrity and discretion.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to interact professionally with all levels of staff and external contacts.
  • Proactive, resourceful, and problem-solving mindset.
  • High degree of accuracy and attention to detail.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working within the financial services industry.
  • Familiarity with corporate governance principles and Board meeting procedures.
  • Proficiency with virtual meeting platforms (e.g., Zoom, Microsoft Teams) and document management systems.
