Job Description

We are seeking a highly motivated Records Management Assistant with a strong focus on AI and digital data to join our team in Wesley Chapel, Florida. In this role, you will be instrumental in managing, organizing, and ensuring the integrity of our digital records and information assets. This position involves working with cutting-edge AI tools to enhance data classification, retrieval, and compliance, ensuring efficient and secure access to critical information. You will support various departments in their data management needs, contributing to our overall operational efficiency and regulatory adherence in an increasingly digital landscape.

Key Responsibilities

  • Assist in the development and implementation of digital records management policies and procedures.
  • Utilize AI-powered tools for efficient classification, indexing, and tagging of digital documents and data.
  • Ensure compliance with corporate records retention schedules and legal regulations.
  • Manage the lifecycle of digital records from creation to disposition, including archiving and retrieval.
  • Conduct regular audits of digital records to ensure accuracy, completeness, and integrity.
  • Provide support and training to staff on records management best practices and system usage.
  • Collaborate with IT and data governance teams to optimize digital storage solutions and security protocols.
  • Identify opportunities for process automation and efficiency gains in digital data management.
  • Prepare reports on records management activities and compliance status.

Required Skills

  • 1 year of experience in records management, data entry, or administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint).
  • Familiarity with digital document management systems and databases.
  • Basic understanding of data organization principles and information governance.
  • Strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Associate's or Bachelor's degree in Information Science, Business Administration, or a related field.
  • Experience with AI/machine learning tools for data classification or content analysis.
  • Knowledge of financial services regulations related to records management (e.g., FINRA, SEC).
  • Experience with enterprise content management (ECM) systems.
  • Certifications in records management (e.g., CRM) or information governance.
