Job Description
We are seeking a dedicated and organized Administrative Assistant to support the operations at our Pasco facility, which collaborates closely with our broader refinery network, including the Houston operations. This role is crucial for ensuring the smooth administrative functioning of the site, handling a variety of tasks from scheduling and document management to coordinating site-specific projects and supporting local team members. The ideal candidate will be proactive, possess excellent communication skills, and thrive in a fast-paced industrial environment.
Key Responsibilities
- Manage and maintain executive schedules, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate meetings, conferences, and special events, including room setup and catering.
- Handle incoming calls and direct them appropriately, serving as a primary point of contact.
- Develop and maintain a filing system, both physical and electronic.
- Process expense reports and invoices, ensuring accuracy and compliance.
- Assist with onboarding new employees and managing office supplies inventory.
- Support facility management in day-to-day operational tasks.
- Collaborate with other administrative staff and departments to ensure seamless operations.
- Maintain confidentiality of sensitive information.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Experience with office equipment (e.g., printers, scanners).
Preferred Qualifications
- Associate's degree in Business Administration or a related field.
- Experience in an industrial, manufacturing, or refinery environment.
- Familiarity with project management software.
- Knowledge of basic accounting principles.
