Job Description

We are seeking a highly motivated and detail-oriented individual to join our team as a Policy Coordinator – Professional Legal Secretary mix. This unique role combines the strategic responsibilities of policy analysis and coordination with the essential administrative and organizational duties of a professional legal secretary. The successful candidate will play a crucial role in supporting our policy initiatives and legal teams, ensuring smooth operations, effective communication, and meticulous document management. This position requires an individual with exceptional organizational skills, a strong understanding of legal processes, and an interest in public policy, capable of managing multiple priorities in a fast-paced legal environment.

Key Responsibilities

  • Provide high-level administrative support to attorneys and policy specialists, including scheduling, correspondence, and travel arrangements.
  • Assist in the research, analysis, and tracking of legislative and regulatory developments relevant to the firm's clients and policy initiatives.
  • Coordinate and prepare materials for policy meetings, presentations, and client briefings.
  • Manage and organize legal documents, case files, and policy-related records, both physical and electronic, ensuring accuracy and accessibility.
  • Draft, proofread, and format legal documents, policy briefs, reports, and communications with precision and attention to detail.
  • Facilitate internal and external communications, serving as a primary point of contact for inquiries related to policy matters and administrative support.
  • Process invoices, expense reports, and manage billing for policy-related projects and legal services.
  • Maintain confidentiality and discretion in all aspects of work, handling sensitive information with utmost integrity.
  • Collaborate with other administrative staff and legal professionals to ensure seamless workflow and office efficiency.

Required Skills

  • Minimum of 3 years of experience as a Legal Secretary or in a similar administrative role within a legal or policy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document management systems.
  • Excellent written and verbal communication skills, with a strong command of grammar and punctuation.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to prioritize tasks, manage time effectively, and meet deadlines in a demanding environment.
  • Strong interpersonal skills and the ability to work collaboratively in a team setting.
  • Demonstrated ability to handle confidential information with discretion.
  • Familiarity with legal terminology and procedures.

Preferred Qualifications

  • Associate's or Bachelor's degree in Legal Studies, Political Science, Public Administration, or a related field.
  • Experience with legislative tracking software or policy research tools.
  • Notary Public commission.
  • Previous experience supporting government relations or public policy teams.
  • Ability to adapt quickly to new technologies and processes.
