Job Description

We are seeking a highly organized, proactive, and dynamic Executive Office Manager to fill a crucial Combined Leadership Role at our Rancho Cucamonga facility. This position is central to the efficient operation of our executive office, requiring exceptional administrative leadership, strategic support to senior executives, and the ability to manage complex projects with discretion and precision. The ideal candidate will be a linchpin, ensuring seamless coordination across various departments, managing sensitive information, and contributing to the strategic flow of executive communications and initiatives.

Key Responsibilities

  • Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Oversee the daily operations of the executive office, ensuring a professional and organized environment.
  • Manage and prioritize incoming communications, including emails, calls, and correspondence, and draft responses as appropriate.
  • Prepare and edit presentations, reports, and other documents for executive review and dissemination.
  • Plan and execute executive meetings, including agenda development, material preparation, minute-taking, and follow-up on action items.
  • Coordinate special projects and initiatives, working cross-functionally with various departments.
  • Handle confidential and sensitive information with the utmost discretion and integrity.
  • Manage office budgets, expenses, and vendor relationships relevant to executive office operations.
  • Develop and implement office policies and procedures to improve efficiency and workflow.

Required Skills

  • Minimum of 5 years of experience in an executive administrative or office management role, preferably in a large organization.
  • Exceptional organizational and time management skills with a strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Proactive problem-solving abilities and a strong sense of initiative.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong interpersonal skills and the ability to build relationships with diverse stakeholders.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience working within the healthcare industry or a similarly regulated environment.
  • Familiarity with project management principles and software.
  • Certification in administrative professional or office management.
