Job Description
We are seeking a dedicated and detail-oriented Operations Support Specialist to join our team in Rapid City. While the internal designation for this role is `)`, this pivotal position is responsible for ensuring the smooth daily operation of our financial services branch through comprehensive administrative and operational support. The ideal candidate will be proactive, possess excellent organizational skills, and be committed to maintaining high standards of efficiency and compliance. This role involves a variety of tasks crucial to supporting both our team members and our valued customers, contributing directly to the branch’s success and customer satisfaction.
Key Responsibilities
- Provide administrative support to branch management and team members, including scheduling, correspondence, and report generation.
- Assist with the onboarding process for new employees, ensuring all necessary documentation is completed and submitted accurately.
- Manage and maintain office supplies inventory, placing orders as needed and organizing storage areas.
- Handle incoming and outgoing mail, packages, and inter-office communications.
- Maintain organized filing systems, both physical and electronic, ensuring data integrity and easy retrieval.
- Support the resolution of customer inquiries and issues, escalating to appropriate personnel when necessary.
- Assist in the preparation and coordination of branch meetings, presentations, and events.
- Ensure compliance with company policies and procedures, as well as all relevant financial regulations.
- Perform data entry and verification tasks to support various operational processes.
- Collaborate with other departments to streamline workflows and improve operational efficiency.
Required Skills
- Minimum 1.5 years of experience in an administrative or operational support role, preferably within the financial services industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Finance, or a related field.
- Familiarity with financial services software and systems.
