Job Description

Key Responsibilities

  • Manage complex calendars, schedule appointments, and coordinate meetings for executives and agents.
  • Handle correspondence, including drafting emails, letters, and reports with meticulous attention to detail.
  • Organize and maintain physical and electronic filing systems, ensuring information is readily accessible.
  • Arrange travel itineraries, accommodations, and transportation, managing all logistics efficiently.
  • Prepare presentations, reports, and other documents as required, ensuring professional quality.
  • Act as a primary point of contact, screening calls and visitors, and directing inquiries appropriately.
  • Run errands and perform personal tasks as needed to support efficiency and streamline operations.
  • Assist with event planning and coordination for office functions, client appreciation events, and team meetings.
  • Process expense reports and manage basic bookkeeping tasks, maintaining accurate records.
  • Maintain strict confidentiality and exercise discretion in all matters and communications.

Required Skills

  • Proven administrative support experience, preferably in a fast-paced environment.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office software.
  • Strong verbal and written communication abilities, with excellent interpersonal skills.
  • High level of discretion and confidentiality, handling sensitive information with integrity.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
