Job Description
We are seeking a highly organized, proactive, and discreet WFH Senior Fellow Assistant to provide comprehensive remote administrative and strategic support to a high-level executive within Qualtrics. This critical role requires exceptional communication skills, a meticulous eye for detail, and the ability to anticipate needs and manage complex schedules and projects independently. The ideal candidate will thrive in a remote environment, demonstrating self-motivation, resourcefulness, and a strong sense of ownership. This position is 100% remote.
Key Responsibilities
- Provide proactive, high-level administrative support to a senior executive, managing complex calendars, scheduling meetings, and coordinating travel arrangements (when applicable).
- Prepare and edit correspondence, presentations, and reports, ensuring accuracy, consistency, and adherence to company standards.
- Act as a primary point of contact, screening calls and emails, and managing information flow to and from the executive.
- Organize and maintain confidential files and documents with utmost discretion.
- Assist with project coordination, research tasks, and special assignments as directed by the executive.
- Facilitate effective communication across various internal and external stakeholders.
- Manage expense reports and budget tracking, ensuring timely submissions and compliance.
- Proactively identify and address potential administrative issues before they arise.
- Assist in planning and executing virtual and in-person events, meetings, and conferences.
Required Skills
- Minimum of 5 years of experience providing executive support to senior leadership.
- Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks effectively.
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and other productivity tools.
- Superior written and verbal communication skills, with keen attention to detail and grammar.
- Proven ability to maintain confidentiality and exercise discretion.
- Strong problem-solving abilities and a proactive approach to work.
- High degree of professionalism, adaptability, and resilience.
- Demonstrated ability to work independently in a remote setting with minimal supervision.

- Bachelor's degree in Business Administration or a related field.
- Experience in the technology or software industry.
- Familiarity with project management software and virtual collaboration tools.
