Job Description

We are seeking a diligent and organized Logistics Records Clerk with a focus on Federal/State Benefits to join our team in Fargo, North Dakota. This crucial role involves managing and maintaining accurate records related to logistics operations, with a specific emphasis on documentation pertaining to federal and state benefits, permits, and compliance requirements. The ideal candidate will possess exceptional attention to detail, strong organizational skills, and a solid understanding of record-keeping best practices. You will ensure all regulatory documents are current, accessible, and accurately filed, supporting smooth operational flow and compliance.

Key Responsibilities

  • Maintain, update, and organize physical and electronic logistics records, ensuring accuracy and completeness.
  • Process and file documentation related to federal and state benefits programs, including permits, licenses, and grants relevant to logistics operations.
  • Ensure all record-keeping practices comply with company policies and relevant federal/state regulations.
  • Assist in the preparation of reports and audits by retrieving and compiling requested documentation.
  • Communicate effectively with internal departments and external agencies regarding record status and requirements.
  • Manage document retention schedules and ensure proper disposal of outdated records.
  • Identify and resolve discrepancies in records, escalating complex issues as needed.
  • Support general administrative tasks within the logistics department.

Required Skills

  • High school diploma or equivalent.
  • Minimum of 1 year of experience in administrative support, record keeping, or data entry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.

Preferred Qualifications

  • Associate's degree in Business Administration, Logistics, or a related field.
  • Experience with document management systems (DMS).
  • Familiarity with federal and state regulations pertaining to logistics or transportation (e.g., DOT, OSHA).
  • Prior experience in the logistics or transportation industry.
