Job Description

We are seeking a highly organized and proactive Administrative Lead with a strong focus on Office Operations to join our team in New Port Richey, FL. This pivotal role is responsible for ensuring the smooth and efficient functioning of our office environment, providing comprehensive administrative support, and acting as a primary point of contact for operational inquiries. The ideal candidate will be a self-starter, possess exceptional organizational skills, and have a proven ability to manage multiple priorities in a dynamic healthcare setting. You will play a critical role in maintaining office standards, optimizing workflows, and supporting our mission to provide whole-person care.

Key Responsibilities

  • Oversee daily office operations, including supplies management, equipment maintenance, and vendor relations.
  • Manage incoming and outgoing communications, including mail, emails, and phone calls, directing inquiries appropriately.
  • Coordinate and schedule meetings, appointments, and travel arrangements for senior staff.
  • Maintain organized filing systems, both digital and physical, ensuring data integrity and confidentiality.
  • Assist with budget tracking, expense reporting, and basic financial record-keeping.
  • Support HR functions such as new employee onboarding logistics and record maintenance.
  • Implement and enforce office policies and procedures to ensure a productive and compliant environment.
  • Act as a liaison between various departments and external stakeholders.
  • Prepare reports, presentations, and other documents as required.
  • Proactively identify areas for operational improvement and implement solutions.

Required Skills

  • Minimum of 3 years of administrative or office management experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Problem-solving skills and a proactive approach to challenges.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or related field.
  • Experience working in a healthcare or large corporate environment.
  • Knowledge of basic accounting principles.
  • Experience with office management software or CRM systems.
