Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Houston Refinery team from our corporate office in Austin. This role is crucial for ensuring smooth administrative operations, providing essential support to management and staff, and maintaining efficient communication channels. The ideal candidate will be a proactive problem-solver with excellent communication skills and a strong ability to manage multiple tasks in a fast-paced environment. Key Responsibilities

  • Provide comprehensive administrative support to refinery management and team members, including scheduling, correspondence, and meeting coordination.
  • Manage and organize office files, documents, and records, ensuring accuracy and accessibility.
  • Prepare reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries as appropriate.
  • Coordinate travel arrangements and expense reports for team members.
  • Assist with onboarding new employees and managing office supplies inventory.
  • Maintain strict confidentiality of sensitive information and company records.
  • Support special projects and initiatives as assigned by management.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Strong verbal and written communication abilities

Preferred Qualifications

  • Associate's degree in Business Administration or a related field
  • Previous administrative experience in the oil & gas or manufacturing industry
  • Experience with SAP or other enterprise resource planning (ERP) software
  • Familiarity with refinery operations and terminology
