Job Description

We are seeking a highly organized and detail-oriented Life Coaching Assistant with an administrative focus to provide comprehensive support to our team of professional life coaches. This is a remote position designed for an individual who thrives in a fast-paced environment and possesses exceptional communication and organizational skills. The successful candidate will be instrumental in ensuring the smooth operation of our coaching programs, managing schedules, preparing materials, and maintaining client records, all while contributing to a positive client experience. This role requires a proactive approach and the ability to anticipate needs, allowing our coaches to focus entirely on client development.

Key Responsibilities

  • Manage and maintain coaching schedules, including booking and rescheduling client appointments.
  • Prepare and format coaching materials, presentations, and client reports.
  • Handle client correspondence, ensuring timely and professional communication.
  • Organize and maintain accurate client databases and confidential records.
  • Assist with invoicing, expense tracking, and other financial administrative tasks.
  • Coordinate logistics for virtual workshops, webinars, and group coaching sessions.
  • Provide technical support for online meeting platforms during coaching sessions.
  • Research and compile information to support coach preparations for client engagements.
  • Draft and proofread various documents, emails, and marketing communications.
  • Contribute to process improvement initiatives to enhance administrative efficiency.

Required Skills

  • Proven experience as an administrative assistant or in a similar support role.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Strong written and verbal communication skills.
  • Ability to work independently and remotely with minimal supervision.
  • High level of discretion and ability to handle confidential information.
  • Experience with CRM software (e.g., Salesforce, HubSpot) or similar client management systems.
  • Reliable internet connection and a dedicated home office setup.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience supporting coaches, consultants, or executive professionals.
  • Familiarity with online scheduling tools (e.g., Calendly, Acuity Scheduling).
  • Knowledge of project management tools (e.g., Asana, Trello).
  • Certification in administrative support or virtual assistance.
