Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and personal support to a senior executive. This pivotal role requires a flexible individual who can seamlessly manage both professional duties and personal arrangements, ensuring the executive’s time is optimized and operations run smoothly. The ideal candidate will possess exceptional communication skills, a meticulous eye for detail, and the ability to anticipate needs in a fast-paced environment.
Key Responsibilities
- Manage and maintain executive's complex calendar, scheduling appointments, meetings, and travel itineraries (domestic and international).
- Prepare and compile documents, presentations, and reports, ensuring accuracy and professionalism.
- Act as a primary point of contact, screening calls and emails, and responding professionally on behalf of the executive when appropriate.
- Coordinate and arrange events, meetings, and conferences, including venue selection, catering, and materials preparation.
- Handle confidential information with the utmost discretion and integrity.
- Process expense reports, invoices, and other financial documentation.
- Run personal errands, manage household appointments, and assist with personal travel arrangements as needed.
- Maintain organized filing systems, both digital and physical.
- Proactively identify and address potential issues or conflicts, offering solutions.
- Assist with special projects and initiatives as assigned.
Required Skills
- Minimum of 3 years of experience as an Executive Assistant or Personal Assistant.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
- Proactive problem-solving abilities and a strong attention to detail.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience supporting C-suite executives.
- Familiarity with travel booking platforms and expense management software.
- Ability to adapt to changing priorities and tight deadlines.
