Job Description

We are seeking a highly organized and detail-oriented Virtual Inbox Manager to join our team. This fully remote position is crucial for maintaining efficient communication flows, ensuring no critical information is missed, and supporting our internal teams by managing various email inboxes. The ideal candidate will be proficient in email management, capable of prioritizing messages, drafting clear responses, and maintaining impeccable digital organization without any voice interaction.

Key Responsibilities

  • Proactively manage and clear multiple email inboxes daily, ensuring timely processing of all communications.
  • Categorize, prioritize, and flag urgent emails for immediate attention by relevant team members.
  • Draft professional and concise email responses to routine inquiries, adhering to company guidelines.
  • Organize email folders, archive old communications, and maintain a structured digital filing system.
  • Monitor for spam and phishing attempts, reporting suspicious activity to IT security.
  • Prepare daily or weekly summaries of inbox activity, key actions taken, and outstanding items.
  • Ensure strict confidentiality and data security for all sensitive information handled.
  • Collaborate with various teams to understand their email communication needs and optimize inbox management strategies.
