Job Description

We are seeking a highly reliable and organized WFH Administrative Partner to provide essential support to our teams. This 100% remote role is perfect for a self-starter with excellent communication skills and a keen eye for detail. You will be instrumental in ensuring the smooth operation of daily administrative tasks, coordinating schedules, and managing correspondence, all from the comfort of your home office. Your ability to prioritize, multitask, and maintain confidentiality will be key to success in this dynamic environment. We value proactive individuals who can anticipate needs and contribute positively to a collaborative virtual team setting.

Key Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain digital and physical files, ensuring easy retrieval and compliance.
  • Coordinate and facilitate virtual meetings, including setting up technology, distributing agendas, and taking minutes.
  • Process expenses, invoices, and other financial documentation in a timely manner.
  • Act as a primary point of contact for internal and external inquiries, providing professional and timely responses.
  • Assist with special projects and initiatives as assigned, demonstrating flexibility and adaptability.
  • Maintain confidentiality of sensitive information and exercise discretion in all communications.

Required Skills

  • Proven experience as an administrative assistant, virtual assistant, or similar role.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication abilities.
  • Ability to work independently and manage multiple tasks with minimal supervision.
  • High level of discretion and confidentiality.
  • Reliable internet connection and a dedicated home office setup.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience with project management software (e.g., Asana, Trello).
  • Familiarity with virtual collaboration tools (e.g., Zoom, Microsoft Teams).
  • Certification in administrative professional courses.
