Job Description
We are seeking a highly organized, proactive, and discreet Administrative Executive to provide comprehensive high-level administrative support to our senior management team at our Ontario, CA hub. This pivotal role requires exceptional communication skills, meticulous attention to detail, and the ability to manage complex schedules, sensitive information, and critical projects with professionalism and efficiency. The ideal candidate will be a trusted partner, anticipating needs and ensuring seamless operations for our executive leadership.
Key Responsibilities
- Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements for senior executives.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and adherence to company standards.
- Act as a primary point of contact and liaison between executives, employees, clients, and external partners.
- Coordinate and organize executive meetings, including preparing agendas, taking minutes, and distributing materials.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Oversee office management tasks, including ordering supplies, managing vendor relationships, and ensuring a productive work environment.
- Assist in the preparation of reports, financial statements, and other critical business documents.
- Support special projects and initiatives as assigned by senior leadership.
Required Skills
- Proven experience in a high-level administrative or executive assistant role.
- Exceptional organizational and time management skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Superior written and verbal communication skills.
- Ability to maintain confidentiality and exercise discretion.
- Strong problem-solving and decision-making abilities.
- Demonstrated ability to work independently and as part of a team.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience supporting executives in a logistics, transportation, or large corporate environment.
- Familiarity with project management software and virtual collaboration tools.
- Certification in administrative professional programs.
