Job Description

We are seeking a dedicated and organized Administrative Secretary to join our team in New Port Richey, FL. This role is crucial for maintaining efficient office operations and providing comprehensive administrative support to ensure the smooth running of our department. The ideal candidate will possess excellent communication skills, a strong work ethic, and a proactive approach to managing tasks within a stable Monday-Friday schedule.

Key Responsibilities

  • Manage and maintain schedules, appointments, and travel arrangements for management.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and coordinate meetings, conferences, and special events, including room setup and material distribution.
  • Handle incoming calls and other communications, including faxes and emails, directing them appropriately.
  • Maintain an organized filing system for important documents and records, both physical and digital.
  • Process invoices, expense reports, and other financial documentation as required.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Serve as a primary point of contact for internal and external stakeholders.
  • Assist with data entry and maintain databases with accuracy and confidentiality.
  • Perform general office duties such as photocopying, scanning, and mail distribution.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills

Preferred Qualifications

  • Associate's degree in Business Administration or a related field
  • Previous experience in a healthcare or professional office environment

  • Experience with scheduling software and virtual meeting platforms
