Job Description
We are seeking a highly meticulous and discreet Document Controller to join our project team in Vallejo, CA. This critical role involves managing all project-related documentation, with a paramount focus on maintaining high levels of confidentiality for sensitive materials. The successful candidate will be responsible for the systematic control, storage, and retrieval of documents, ensuring compliance with company standards and regulatory requirements. Proficiency in Google Workspace tools is essential for effective document management and collaboration within our digital environment. Key Responsibilities
- Manage and control all project documents, drawings, and correspondence, both electronic and hard copy.
- Ensure all documentation is properly indexed, cataloged, and stored in accordance with company policies and client requirements.
- Implement and maintain document control procedures to ensure accuracy, quality, and traceability of documents.
- Distribute controlled documents to appropriate recipients and maintain distribution lists.
- Process incoming and outgoing project documents, including logging, tracking, and filing.
- Perform quality checks on documentation to ensure completeness and compliance with project standards.
- Assist project teams with document retrieval and access, adhering strictly to confidentiality protocols.
- Maintain document control systems, including regular audits and updates.
- Prepare reports on document status and progress as required.
- Safeguard highly confidential and proprietary information throughout its lifecycle.
- Utilize Google Workspace (Drive, Docs, Sheets) for collaborative document management and version control.
- Train project staff on document control procedures and system usage.
Required Skills
- Minimum of 3 years of experience in document control or a similar administrative role.
- Proven ability to manage highly confidential information with utmost discretion.
- Proficiency in document management systems and software.
- Expertise in Google Workspace (Google Drive, Docs, Sheets).
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Understanding of document control principles and best practices.
- Ability to follow strict protocols and procedures.
Preferred Qualifications
- Bachelor's degree in Business Administration, Information Management, or a related field.
- Experience in the engineering, construction, or consulting industry.
- Certification in Document Control or Information Management.
- Familiarity with ISO 9001 standards or similar quality management systems.
