Job Description
We are seeking a highly motivated and detail-oriented Virtual Operations Coordinator with a strong focus on logistics to join our remote team. This role is crucial for ensuring the smooth and efficient operation of our logistics processes from a remote setting. The ideal candidate will possess excellent organizational skills, a keen eye for detail, and the ability to thrive in a fast-paced virtual environment. You will be responsible for coordinating various logistics activities, communicating with carriers and clients, and supporting the overall operational flow.
Key Responsibilities
- Monitor and track shipments, providing timely updates to clients and internal stakeholders.
- Coordinate with carriers, warehouses, and freight forwarders to ensure on-time delivery and pick-up.
- Resolve operational issues and discrepancies related to logistics in a proactive manner.
- Maintain accurate records of all logistics activities, including invoices, shipping documents, and delivery confirmations.
- Assist in optimizing logistics routes and schedules to improve efficiency and reduce costs.
- Prepare reports on logistics performance, identifying areas for improvement.
- Communicate effectively with cross-functional teams to ensure seamless information flow.
- Process and manage orders, ensuring compliance with company policies and client requirements.
- Support the onboarding of new clients and carriers from an operational perspective.
Required Skills
- 2+ years of experience in logistics, supply chain, or operations coordination.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills.
- Ability to work independently and manage time effectively in a remote setting.
- Familiarity with logistics software or enterprise resource planning (ERP) systems.
- High level of accuracy and attention to detail.
Preferred Qualifications
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- Experience with a Transportation Management System (TMS).
- Knowledge of Canadian and international shipping regulations.
- PMP or other relevant project management certification.
