Job Description

We are seeking a highly detail-oriented and reliable Billing Support Agent to join our team in Kitchener, Ontario. In this stable role, you will be responsible for providing exceptional support to customers regarding their billing inquiries, account statements, and payment processing. The ideal candidate will possess a strong commitment to accuracy, excellent communication skills, and a professional demeanor. This is a critical role that ensures customer satisfaction and contributes to the financial health of our clients by resolving billing issues efficiently and effectively.

Key Responsibilities

  • Respond to customer inquiries regarding billing, payments, and account statements via phone, email, and chat.
  • Investigate and resolve billing discrepancies, processing adjustments and refunds as necessary.
  • Educate customers on billing cycles, payment options, and service charges.
  • Maintain accurate and detailed records of all customer interactions and transactions in the CRM system.
  • Collaborate with internal departments (e.g., sales, technical support) to resolve complex billing issues.
  • Adhere to company policies and procedures regarding data privacy and financial transactions.
  • Identify trends in customer inquiries and provide feedback for process improvements.
  • Process payments and set up payment arrangements when applicable.

Required Skills

  • Minimum 1 year of experience in a customer service or billing support role.
  • Exceptional attention to detail and a high degree of accuracy in data entry and record-keeping.
  • Strong verbal and written communication skills in English.
  • Proficiency in using CRM software and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong problem-solving abilities and a customer-centric approach.

Preferred Qualifications

  • Post-secondary education in Business Administration, Accounting, or a related field.
  • Experience with financial software or billing systems.
  • Bilingualism (English and French) is an asset.
