Job Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to senior leadership. This is a fully remote position, offering the flexibility of working from home while contributing to a dynamic and fast-paced environment. The successful candidate will manage complex schedules, coordinate travel, prepare presentations, handle confidential information with discretion, and streamline communication for executives. You will be an integral part of ensuring the smooth operation and efficiency of our leadership team, enabling them to focus on strategic initiatives. This role requires exceptional organizational skills, a strong ability to multitask, and a proactive approach to problem-solving in a remote setting.
Key Responsibilities
- Provide high-level administrative support to assigned executives, managing complex calendars and scheduling meetings across various time zones.
- Coordinate and arrange domestic and international travel logistics, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation.
- Organize and facilitate virtual meetings and conferences, including agenda preparation, minute-taking, and follow-up on action items.
- Manage and reconcile expense reports, invoices, and other financial documentation.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Act as a primary point of contact for internal and external stakeholders, screening and directing communications effectively.
- Anticipate executive needs and proactively address potential issues or conflicts.
- Assist with special projects and research assignments as required.
- Maintain an organized digital filing system for executive documents and records.
Required Skills
- Minimum of 4 years of experience as an Executive Assistant supporting senior-level management.
- Proven ability to manage complex calendars and coordinate multi-leg travel.
- Exceptional written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Microsoft Teams, Zoom).
- Strong organizational skills with an acute attention to detail and accuracy.
- Ability to work independently and manage multiple priorities in a fast-paced, remote environment.
- Demonstrated discretion and integrity in handling confidential information.
- Problem-solving aptitude with a proactive and resourceful approach.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience working in the chemical, energy, or manufacturing industry.
- Familiarity with project management software or enterprise resource planning (ERP) systems.
