Job Description
We are seeking a highly organized, proactive, and confidential Executive Assistant to provide comprehensive administrative support to a senior executive within our organization. This pivotal role requires an individual with exceptional communication skills, a keen eye for detail, and the ability to manage complex calendars and projects in a fast-paced environment. The successful candidate will be instrumental in ensuring the executive’s day-to-day operations run smoothly, enabling them to focus on strategic initiatives. Relocation assistance will be provided for candidates moving to the Seattle area.
Key Responsibilities
- Manage complex calendars, scheduling appointments, meetings, and conferences, prioritizing effectively.
- Coordinate and arrange domestic and international travel logistics, including flights, hotels, ground transportation, and detailed itineraries.
- Prepare and submit expense reports accurately and in a timely manner.
- Draft, review, and edit correspondence, presentations, and other documents.
- Organize and maintain files and records, ensuring confidentiality and easy retrieval.
- Act as a primary point of contact and liaison between the executive and internal/external stakeholders.
- Plan and execute team meetings, offsites, and special events.
- Assist with special projects and initiatives as assigned by the executive.
- Proactively anticipate needs and provide solutions to administrative challenges.
Required Skills
- Minimum of 3 years of experience as an Executive Assistant supporting senior-level management.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with a professional demeanor.
- Ability to handle confidential information with discretion and integrity.
- Proven ability to work independently and as part of a team in a dynamic environment.
- Problem-solving aptitude and a proactive approach to work.
Preferred Qualifications
- Bachelor's degree or equivalent practical experience.
- Experience working in a large, global technology or e-commerce company.
