Key Responsibilities
- Manage and maintain client calendars, ensuring optimal scheduling of appointments, meetings, and events.
- Proactively set appointments with prospective and existing clients via phone, email, and virtual platforms.
- Confirm appointments and send timely reminders to minimize no-shows.
- Coordinate logistics for virtual meetings, including setting up conference calls and virtual meeting rooms.
- Communicate effectively with clients and their contacts to gather necessary information and resolve scheduling conflicts.
- Utilize CRM systems and scheduling software to track appointments, update contact information, and record interactions.
- Prepare and distribute meeting agendas, minutes, and follow-up materials as needed.
- Provide administrative support related to scheduling and client communication.
- Adhere to client-specific protocols and preferences for scheduling and communication.
- Generate reports on appointment setting activities and outcomes.
Required Skills
- Minimum 1 year of experience in administrative support, scheduling, or appointment setting.
- Exceptional verbal and written communication skills.
- Proficiency with calendar management tools (e.g., Google Calendar, Outlook Calendar).
- Strong organizational skills and meticulous attention to detail.
- Ability to work independently and manage time effectively in a remote setting.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Reliable high-speed internet connection and a dedicated home office setup.
Preferred Qualifications
