Job Description
We are seeking a highly organized and enthusiastic Studio Admin Assistant to join our vibrant team. This role is crucial for ensuring the smooth daily operations of our photography and art studio. The ideal candidate will have a keen eye for detail, a passion for the arts, and excellent administrative skills to support our photographers, artists, and clients. You will be at the heart of our studio, managing schedules, client communications, and contributing to a positive and creative atmosphere.
Key Responsibilities
- Manage daily studio schedules, appointments, and client bookings.
- Serve as the primary point of contact for clients via phone, email, and in-person, providing exceptional customer service.
- Process client inquiries, bookings, payments, and manage client records accurately.
- Assist with preparing the studio space for photo shoots and art workshops, ensuring cleanliness and organization.
- Coordinate with photographers and artists to support their project needs, including material procurement and scheduling assistance.
- Manage inventory of office and studio supplies, placing orders as needed.
- Maintain digital and physical filing systems for client contracts, invoices, and studio documentation.
- Support marketing efforts by assisting with social media updates, newsletter creation, and event coordination.
- Handle general administrative tasks such as mail distribution, data entry, and report generation.
- Contribute to a positive and collaborative team environment.
Required Skills
- Proven experience in an administrative or office support role.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- A genuine interest in photography and art.
- High school diploma or equivalent.
Preferred Qualifications
- Associate's degree or higher in Business Administration, Arts Management, or a related field.
- Experience with CRM software or booking systems.
- Basic knowledge of photo editing software (e.g., Adobe Lightroom, Photoshop) or graphic design tools.
- Previous experience in a creative studio, gallery, or similar artistic environment.
