Job Description
We are seeking a highly organized and detail-oriented WFH UPS Coordinator with a strong focus on Event and Logistics to join our dynamic team. This remote role is crucial for ensuring the seamless coordination of logistics for various company events, special shipments, and complex projects. The ideal candidate will be adept at managing multiple priorities, communicating effectively with internal and external stakeholders, and utilizing UPS systems to optimize processes. You will be instrumental in planning, executing, and monitoring logistics operations to support our strategic initiatives.
Key Responsibilities
- Coordinate end-to-end logistics for company events, including material delivery, venue setup, and post-event breakdown, ensuring timely and efficient operations.
- Manage specialized shipping requirements for marketing materials, trade show exhibits, and sensitive equipment, adhering to all regulatory and internal guidelines.
- Utilize UPS proprietary systems and tools to track shipments, resolve delivery issues, and provide real-time updates to stakeholders.
- Collaborate with internal departments (e.g., Marketing, Sales, Operations) to understand their logistics needs and develop tailored solutions.
- Negotiate with vendors and service providers to secure optimal pricing and service levels for event-related logistics.
- Prepare detailed reports on logistics performance, cost analysis, and project timelines.
- Implement and maintain best practices for logistics and event coordination to enhance efficiency and reduce costs.
- Respond promptly to inquiries and provide excellent support to all internal and external partners.
Required Skills
- Proven experience in logistics coordination, event planning, or supply chain management.
- Proficiency in logistics software and strong computer skills, including Microsoft Office Suite.
- Exceptional organizational and time management abilities.
- Strong problem-solving skills and attention to detail.
- Excellent written and verbal communication skills in English and Portuguese.
- Ability to work independently in a remote environment with minimal supervision.
- Demonstrated ability to manage multiple projects and meet tight deadlines.
Preferred Qualifications
- Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- Experience with international shipping regulations and customs procedures.
- Certification in Project Management (e.g., PMP) or Logistics.
- Familiarity with event management platforms.
