Job Description

We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive remote support to our senior leadership team. This is a crucial role for an individual who thrives in a fast-paced environment and possesses exceptional administrative and communication skills. As a fully remote position, you will be instrumental in ensuring the smooth and efficient operation of our executives’ demanding schedules, contributing significantly to their productivity and strategic objectives. You will handle sensitive information with the utmost confidentiality and professionalism, acting as a key liaison across various departments and external stakeholders. This role offers the flexibility of remote work while integrating you into a supportive and dynamic global team.

Key Responsibilities

  • Manage complex calendars, scheduling meetings, appointments, and travel arrangements across multiple time zones.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organise and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Process expense reports and manage invoices in compliance with company policies.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and emails.
  • Conduct research, compile data, and prepare reports as requested by senior leadership.
  • Assist with special projects and initiatives as assigned, demonstrating strong project coordination skills.
  • Maintain strict confidentiality of all sensitive information and discussions.
  • Facilitate seamless virtual operations, ensuring executives are equipped with necessary tools and support.

Required Skills

  • Proven experience as an Executive Assistant supporting senior-level management.
  • Exceptional organisational and time management skills with the ability to prioritise tasks effectively.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Microsoft Teams, Zoom).
  • Outstanding written and verbal communication skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently, proactively, and handle multiple priorities simultaneously.
  • High level of discretion and integrity in handling confidential information.
  • Adaptability and flexibility to navigate changing priorities and deadlines.

Preferred Qualifications

  • Experience working in a large, global financial services organisation.
  • Project coordination or event planning experience.
  • Familiarity with various CRM or internal management systems.
  • Relevant professional certification (e.g., EA, PA qualifications).
