Job Description

We are seeking a highly motivated and detail-oriented Financial Admin Assistant to join our wealth management team in Wesley Chapel, Florida. This role is critical in supporting our financial advisors, ensuring smooth daily operations, and enhancing our client service experience. The ideal candidate will have a strong administrative background, excellent organizational skills, and a keen interest in the financial services industry, particularly wealth management. You will be responsible for a variety of tasks that contribute directly to the efficiency and effectiveness of our client interactions and back-office processes.

Key Responsibilities

  • Provide comprehensive administrative support to financial advisors and wealth management professionals.
  • Prepare and process client-related documentation, including new account applications, transfers, and service requests.
  • Schedule and confirm client meetings, manage calendars, and coordinate travel arrangements as needed.
  • Maintain accurate and up-to-date client records and databases, ensuring confidentiality and compliance.
  • Assist with client communications, including drafting correspondence, reports, and marketing materials.
  • Handle incoming calls and emails, addressing client inquiries or directing them to the appropriate team member.
  • Reconcile statements, process financial transactions, and assist with billing and expense reporting.
  • Assist in the preparation of client presentations and financial plans.
  • Liaise with internal departments (e.g., operations, compliance) to resolve issues and streamline processes.
  • Perform general office duties such as filing, scanning, and managing office supplies.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
