Job Description

As a WFH Microsoft Records Management Aide specializing in Digital Data, you will play a crucial role in supporting the efficient and compliant management of digital records for our clients. This 100% remote position involves utilizing Microsoft technologies, primarily SharePoint and Microsoft 365, to organize, maintain, and retrieve critical information. You will ensure data integrity, assist with classification schemes, and contribute to the ongoing improvement of our digital records management practices, all from the comfort of your home office.

Key Responsibilities

  • Assist in the classification, organization, and indexing of digital records within Microsoft SharePoint and other Microsoft 365 platforms.
  • Ensure compliance with established records retention schedules and data governance policies.
  • Support users with record retrieval requests and provide guidance on best practices for digital document management.
  • Perform quality assurance checks on digital records to ensure accuracy, completeness, and integrity.
  • Contribute to the development and maintenance of digital records management documentation and training materials.
  • Collaborate with team members to identify and implement improvements in digital data workflows and systems.
  • Manage and process digital archive requests and prepare records for disposition according to policy.

Required Skills

  • Proficiency in Microsoft Office Suite, especially SharePoint, OneDrive, and Teams.
  • Strong understanding of digital file organization and data management principles.
  • Excellent attention to detail and accuracy in data entry and record keeping.
  • Ability to work independently and manage time effectively in a remote environment.
  • Strong communication skills, both written and verbal.
  • Basic knowledge of data privacy and records compliance standards.

Preferred Qualifications

  • Previous experience in a data entry, administrative, or records management role.
  • Familiarity with records management software or enterprise content management (ECM) systems.
  • Knowledge of specific regulatory compliance (e.g., GDPR, HIPAA, SOX) related to data management.
  • Relevant certifications in Microsoft 365 or information management.
