Job Description

We are seeking a highly organized and detail-oriented Records Management Specialist with a strong focus on Federal and State Benefits data to join our team in New Port Richey, FL. In this critical role, you will be responsible for managing, organizing, and ensuring the integrity and compliance of vital records, particularly those related to government benefits programs. This position requires a deep understanding of records lifecycle management, regulatory requirements, and the ability to work with Google-related systems for document storage and retrieval. You will play a key role in supporting our clients’ needs by ensuring information is accessible, secure, and compliant with all applicable federal and state guidelines.

Key Responsibilities

  • Develop, implement, and maintain comprehensive records management policies and procedures specific to federal and state benefits programs.
  • Manage the full lifecycle of records, from creation and receipt to storage, retrieval, and disposition, ensuring compliance with legal and regulatory requirements.
  • Classify, index, and organize physical and electronic records, leveraging Google Workspace tools and other enterprise content management systems.
  • Conduct regular audits of records systems to ensure data accuracy, completeness, and adherence to established standards.
  • Provide expert guidance and training to staff on records management best practices, policies, and system usage.
  • Collaborate with internal teams and external stakeholders to facilitate information sharing while maintaining strict confidentiality and security protocols.
  • Stay abreast of changes in federal and state regulations pertaining to records management, data privacy, and government benefits.
  • Assist in responding to information requests, audits, and legal discovery processes.
  • Identify opportunities for process improvement and the adoption of new technologies to enhance records efficiency and compliance.

Required Skills

  • Minimum 4 years of experience in records management, information governance, or a related field.
  • Demonstrated knowledge of federal and state regulations pertaining to records management and data privacy (e.g., FOIA, HIPAA, state-specific privacy laws).
  • Proficiency with Google Workspace (formerly G Suite) for document management, including Drive, Docs, Sheets, and Forms.
  • Experience with enterprise content management (ECM) systems.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a collaborative team.

Preferred Qualifications

  • Bachelor's degree in Library Science, Information Management, Public Administration, or a related discipline.
  • Certified Records Manager (CRM) or Information Governance Professional (IGP) certification.
  • Experience working with government agencies or in a highly regulated industry.
  • Familiarity with data classification frameworks and retention schedules specific to benefits programs.
  • Project management experience in records system implementation or migration.
