Job Description
We are seeking an exceptionally organized and proactive Online Virtual Executive to provide high-level administrative and strategic support to our senior leadership team. This role is crucial for ensuring the smooth operation of executive functions, managing complex schedules, coordinating projects, and facilitating communication across various departments. The ideal candidate will be a self-starter, highly adaptable, technologically proficient, and possess a keen eye for detail, capable of anticipating needs and proactively solving challenges in a fast-paced, virtual environment.
Key Responsibilities
- Manage intricate calendars, schedule meetings, and arrange appointments for multiple executives, optimizing time and ensuring preparedness.
- Organize and coordinate virtual meetings, including setting agendas, preparing presentations, taking minutes, and tracking action items.
- Prepare, review, and edit confidential correspondence, reports, presentations, and other documents with precision and discretion.
- Conduct research, compile data, and prepare summaries for executive decision-making and strategic initiatives.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing communication efficiently.
- Assist with project management tasks, tracking progress, managing deadlines, and ensuring timely completion of deliverables.
- Proactively identify administrative needs and implement solutions to improve efficiency and workflow for the executive team.
- Handle confidential information with the utmost integrity and professionalism.
Required Skills
- Minimum 6 years of experience in executive administrative support, virtual assistant, or a related high-level support role.
- Exceptional organizational and time management skills with the ability to prioritize effectively in a dynamic environment.
- Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and other virtual collaboration tools.
- Superior written and verbal communication skills, with an impeccable command of English grammar and spelling.
- Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Strong problem-solving abilities and a proactive, anticipate-needs approach.
- High degree of adaptability and comfort working independently in a fully remote setting.
Preferred Qualifications
- Bachelor's degree in Business Administration, Communications, or a related field.
- Experience supporting executives in a global technology or e-commerce company.
- Familiarity with project management software (e.g., Asana, Trello) and CRM systems.
