Job Description

We are seeking an exceptionally organized, proactive, and discreet Personal Assistant to serve as a trusted right-hand to a senior executive. This pivotal role requires an individual with impeccable judgment, strong communication skills, and the ability to anticipate needs and manage complex schedules with precision. You will be instrumental in supporting our executive’s professional and personal endeavors, ensuring seamless operations and efficient time management. This is an on-site position based in our Cedar Rapids office, requiring a high degree of presence and engagement.

Key Responsibilities

  • Manage and maintain complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international).
  • Act as a primary point of contact, screening calls, emails, and visitors, and handling inquiries with professionalism and discretion.
  • Prepare and edit correspondence, presentations, and other documents, ensuring accuracy and adherence to company standards.
  • Organize and maintain filing systems, both digital and physical, ensuring confidentiality and easy retrieval of information.
  • Coordinate and plan various events, from internal meetings to external conferences, including logistics, catering, and materials.
  • Conduct research, compile data, and prepare reports as requested by the executive.
  • Process expense reports, manage invoices, and track budgets, ensuring timely and accurate record-keeping.
  • Handle personal errands and tasks for the executive, maintaining strict confidentiality and a high level of trust.
  • Proactively identify and address potential scheduling conflicts or issues, offering effective solutions.
  • Support special projects and initiatives as assigned, demonstrating adaptability and resourcefulness.

Required Skills

  • Minimum 3 years of experience as a Personal Assistant or Executive Assistant supporting senior-level management.
  • Exceptional organizational and time management skills with a keen eye for detail.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and modern communication tools.
  • Strong verbal and written communication skills with impeccable grammar and spelling.
  • Proven ability to anticipate needs, prioritize tasks, and work independently with minimal supervision.
  • High level of professionalism and a polished demeanor.
  • Problem-solving aptitude and the ability to think critically under pressure.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience working in the financial services industry.
  • Familiarity with project management software or CRM systems.
  • Notary Public commission or willingness to obtain one.
